How to Export Contacts from Outlook (2003, 2007, 2010)

Export All Contacts

Outlook 2003

  1. In Outlook, on the File menu, click Import and Export.
  2. Click Export to a file, and then click Next.
  3. Click Comma Separated Values (Windows), and then click Next.
  4. In the folder list, click the Contacts folder, and then click Next.
  5. Browse to the folder where you want to save the contacts as a .csv file.
  6. Type a name for the exported file, and then click OK.
  7. Click Next.
  8. Click Finish.

Outlook 2007

  1. In Outlook, on the File menu, click Import and Export.
  2. Click Export to a file, and then click Next.
  3. Click Comma Separated Value (Windows), and then click Next.
  4. In the folder list, click the contacts folder you want to export, and then click Next.
  5. Choose a location on your computer to save the file.
  6. Type a name for the exported file, and then click OK.
  7. Click Next.
  8. Click the Finish button.

Outlook 2010

  1. Click the File tab.
  2. Click Options.
  3. Click Advanced.
  4. Under Export, click Export.
  5. In the Import and Export Wizard, click Export to a file, and then click Next.
  6. Under Create a file of type, click the type of export that you want (choose Comma Separated Values (Windows)), and then click Next.
  7. Under Select folder to export from, select the contact folder that you want to export, and then click Next.
    Note: Unless you chose to export to an Outlook Data File (.pst), you can only export one folder at a time.
  8. Under Save exported file as, click Browse, select a destination folder, and in the File name box, type a name for the file.
    1. Selecting Map Custom Fields will allow you to choose which contact information you want to export,map-custom-fields-dialog.png.

 

  1. Click OK.
  2. In the Export to a File dialog box, click Next.
  3. Click Finish.

Export a Distribution List

Outlook 2010 is used for this example. The steps are the same in Outlook 2003 or 2007 but the locations and terms used may be different for these earlier versions.

Exporting Distribution List Contents

In Outlook, select Contacts.

Select the Contacts list you want to view then set the Current View to List.

Select the Distribution List you want to export then select File, and Save As...

Choose where you want to save it to then set Save as type: to Text Only (*.txt) then select the save button.

You are done working in Outlook.

Preparing your CSV File

Open your spreadsheet program, likely Excel if you have Outlook.

Select File then select Open.

Set the file type to Text Files (*.prn, *txt, *csv).

Locate the text file you saved from Outlook, select it then open it.

The text import wizard will display.

Leave Tab as the delimiter (that which separates the data into their respective columns) then select Next,

Click in the first column that has both the name and email address, then select the Do not import column (skip) item.
Leave the second column as it is then click finish.

You will see your exported distribution list's contacts.

Click in the Distribution List name cell and type - email - and remove the empty rows.

Your file is ready to save as a CSV.

Advanced Import

If you want to import first and last names also you can but it is a bit more editing-intensive.

Export the contacts from a distribution list as explained above.

Open the file in Excel and go through step 1 of the import wizard, as explained above.

On Step 2 add a check to the Space box for delimiters,

On Step three, skip the column that has the email address enclosed in parenthesis and any extra columns you do not need which in this example would be column 5 (Ops) as there is no data to import.

If you have middle names they would be separated out to their own column. There is no "middle name" field in BombBomb so you would want to "skip" this column as well.

Select the Finish button to complete the import.

Complete the steps above to prepare our CSV file then you are ready to import it into BombBomb.
