As a Team admin, you can manage your team's brand by setting your team's email signatures and video pages, the branded landing pages where people will view your team's videos. By managing these fields in your team settings, your team will use consistent information, including things such as logo, address, and brand color, so they look professional every time.
If your company requires certain types of information to be included in team members' communications with clients, such as a disclaimer or license number, you can manage that in one place for your whole team.
Note: You must have the super admin or team admin permission level to manage the team profile feature.
Watch this video to learn how or keep reading below!
Step 1: Go to your "Team" tab and click on "Manage Team" in the left panel.
Step 2: At the top right of your screen, click "Manage Team Brand."
Step 3: The first tab you'll see is Profile; this is where you'll set the information for your team's email signatures. Toggle on the profile fields you want to apply to your team members and add the information in the fields.
Step 4: Next, click the Video Page tab to set your team's video pages. (If you don't want to set this, skip to Step 5 to read about saving your team's settings.) Toggle on the fields you want and add your information as needed.
Just as with the team profile settings, when you enable a field, your team member’s video page will use that field.
- If you have the field set for your team in the profile tab, the team video page will automatically use that information.
- If you enable a field that doesn’t have team profile information, it will use the information from each profile.
- Some fields will always be pulled from the individual team members’ profiles, such as title, profile picture, and email address.
One element that is unique to video pages is the header button. If you enable this, it will add a call to action button at the top right of your team’s video pages. This is a great option if your team uses the same link for scheduling appointments or requesting demos. If you want each team member to set their own header button, leave this toggle off.
Step 5: Click "Save" when you are done. This will save your changes, but not apply them to your team just yet. If you want these details to apply to all team members, click "Apply to All." If you want to apply them to select team members, click the checkbox next to the team members you want to add these details to.
Team members on multiple teams: If you are saving settings for a member of your team who already has saved settings from either the parent team or another subteam, you will receive an “important” warning message, letting you know you are about to override the settings of a member. You can uncheck any members whose details you don’t want to override before clicking continue. If you don’t uncheck members, their settings will update to your settings.
Self-paid members: Team profile settings won’t apply to self-paid members. New members invited to a team and inactive members that are re-activated on a team: You will need to opt-in these members to the team settings. They will not automatically receive the team’s profile settings.
That's it! Now when your team members create emails using templates or the quickSend feature, their email signatures will be populated with this information so that you have consistent and professional signatures.
