Overview
Deactivating a user removes their access to BombBomb immediately and frees up their license for someone else. Their videos and data stay in your workspace — nothing is deleted. You can reactivate them at any time, as long as you have an unused license available.
Who this applies to: Application Admins only
Plan requirement: Core, Core + Copilot, Enterprise
Deactivate a User
- Go to Manage Users in the left navigation.
- Find the user you want to deactivate. Use the Search Users bar if needed.
- Click the Status dropdown next to their name and select Inactive.

- The change saves immediately — you'll see a "User updated successfully" confirmation in the top-right corner.
The user loses access to BombBomb instantly. On the Users page, you'll see:
- Total Active Users decreases by 1
- Unused Licenses increases by 1 — that license is now available to assign to someone new
The deactivated user's row will appear greyed out, and their Licensed status will show No.
Note: Deactivated users are hidden from the Users list by default. Check Show Inactive Users to see them.
Find a Deactivated User
Inactive users don't appear in the default Users list. To find them:
- Check the Show Inactive Users checkbox above the user table.
- Inactive users will appear greyed out with Inactive in the Status column.
Reactivate a User
- Check Show Inactive Users to make the deactivated user visible.
- Click the Status dropdown next to their name and select Active.
- The change saves immediately.
Heads up on billing: Reactivating a user consumes one of your Unused Licenses. If Unused Licenses shows 0, you'll need to purchase an additional license before you can reactivate anyone.
Frequently Asked Questions
Does deactivating a user delete their videos or data?
No. All their videos, contacts, and activity history remain in your workspace. You can still access their data through reporting and admin views.
Can a deactivated user log in?
No. Access is removed immediately when you set their status to Inactive.
Will the user be notified when I deactivate them?
No. BombBomb does not send an automatic notification to the user when their account is deactivated.
I need to deactivate a user but reassign their content first. How do I do that?
Review and reassign any critical content before deactivating. Once deactivated, the user loses access but their content remains visible to admins.
Can I deactivate my own account?
No. You cannot deactivate the account you're currently logged into.
What happens to a deactivated user's team memberships?
Their team assignments are retained in the system. If you reactivate them, they'll rejoin their previous teams automatically.
