Overview
Quick Send lets you write and send an email from a single panel, without opening Email Builder. Add your recipients and a subject, then optionally pick a template, add a video (record a new one, choose one from your library, or upload one), attach files, and preview the email before you send it. Use it for one-off emails — a follow-up after a call, a quick video hello, or a congratulations note from a ready-made template.
Who this applies to: Users on Pro and Enterprise plans
Plan requirement: Pro, Enterprise
Email isn't included on the Essentials plan.
Known Limitations
- Each recipient receives their own separate email. Email distribution lists (one address that forwards to a group) aren't supported.
- Quick Send emails always go out through BombBomb, even when you've connected Gmail or Outlook. The From line shows your BombBomb account email, and you can't change it in Quick Send.
- Quick Send sends right away. It doesn't offer scheduling or BCC.
- Subjects can be up to 150 characters.
- Merge tags are available in a template's text fields only — not in the subject line or in the message of an email without a template.
Opening Quick Send
- Click Email in the left navigation.
- Click Quick Send in the top-right corner.
The Quick Send Email panel opens on the right side of the page.
Emailing a contact? You can also open Quick Send from Contacts. Open a contact and click Email → QuickSend Email, or click QuickSend in the contact's row menu. The contact's email address is added as a recipient for you.
Sending a specific video? Go to Library and click the envelope icon on the video, or click the video's ⋯ menu and choose Quick Send Email. Quick Send opens with that video already added.
Adding Recipients
- Click in the Recipients field and type an email address.
- Press Enter to add it. You can also press space or type a comma.
- As you type, matching contacts appear under From BombBomb. If you've connected Gmail or Outlook, contacts from that account appear too. Click a suggestion to add it.
- Repeat for each recipient.
To send to a contact list:
- Click Add list above the Recipients field.
- Check one or more lists.
- Click Add.
Each list appears in Recipients with its number of recipients — for example, My Clients (25 recipients). Every contact on the list receives their own separate email, except contacts who are suppressed or Oversubscribed (over your contact limit) — they're skipped when the email sends. To take a list off, click the X on it.
While adding recipients, you can:
- Remove a recipient by clicking the X on their address.
- See everyone you've added — once you have more than five recipients, click +1 more (or +2 more, and so on) to open the full list. From there, you can remove individual recipients or click Remove All.
- Send yourself a copy by turning on CC Me. This adds your own address as a recipient, so you receive your own separate copy of the email.
If an address is misspelled, you'll see Invalid email address. If you add the same address twice, Quick Send tells you it's already in the recipient list.
Adding a Subject
Type your subject in the Subject field. A subject is required, and it can be up to 150 characters — the counter below the field shows how many you've used.
Choosing a Template (Optional)
Templates give your email a ready-made design that you fill in. Without a template, your email is a video and a message.
- Click Use a template.
- Search for a template by name, or browse the list.
- Hover over a template and click Preview to see it full size.
- Click the desktop and mobile icons at the top of the preview to see how it looks on each screen size.
- Click Use on the template you want.
The template's editable fields appear in the panel — for example, Paragraph 1, Heading 1, a video, and a button. Fill in each field with your own content. To change a button's text or link, click Edit on the button field.
🗣️ Note: If the template includes a video, you need to add one before you can send. Otherwise, you'll see Choose a video to send with this template. Click Add Video in the template's video field to record, select, or upload one (see Adding a Video and Message below).
Editing these fields changes only this email. The original template stays the same.
To switch or remove a template:
- Click Change Template.
- Click Use on a different template, or click Remove on the current one.
- If you're removing it, click Remove Template to confirm.
When you remove a template, the changes you made in its fields are discarded, and the panel returns to the standard video and message layout.
Adding a Video and Message
Without a template, a video is optional — you can send a text-only email. Templates with a video field require one.
- Click Add Video.
- Choose how to add your video:
- Record Video — record a new video with the recorder. When you're done, click Save and Use Video to add it to your email.
- Select Video — search your video library and click the video you want.
- Upload Video — choose a video file from your computer.
- Type your message in the Paragraph field below the video.
🗣️ Note: If you don't see Add Video, video is turned off for your user. Contact your account admin or BombBomb Support.
To replace the video, click Change Video. To take it out of the email, click Remove. Neither option changes or deletes the video in your library.
Use the toolbar under the message to format your text: bold, italic, underline, bulleted and numbered lists, alignment, and links.
Attaching Files
- Click the paperclip icon (Attach a file) in the toolbar under your message or in a template's text field.
- Choose a file you've uploaded before, or upload a new one.
- Click Attach File.
The file is added as a link, showing the file name, in its own paragraph at the end of that field. Recipients click the link to download the file — it isn't sent as a traditional email attachment. You can attach audio (.mp3, .wav), documents (.pdf, .doc, .docx, .txt), spreadsheets (.xls, .xlsx), presentations (.ppt, .pps, .pptx, .ppts, .key), calendar invites (.ics), and .zip files, up to 2 GB each.
Personalizing with Merge Tags
Merge tags add personal details to each email, such as your contact's first name or your phone number. They're available in a template's text fields.
- Click in the text field where you want the merge tag.
- Click Merge tags.
- Choose a category, then the detail you want:
- General — for example, Current Year.
- Profile — your own details, such as First Name, Phone Number, or Website.
- Contacts — your recipient's details, such as First Name, Organization Name, or City.
The merge tag is added where your cursor is. The list of available details can vary by account.
Previewing Your Email
Turn on Preview to see your email as it's currently written, next to the panel. Click the desktop and mobile icons to switch views, and click Close Preview or turn off Preview when you're done. Previewing doesn't send anything.
Sending Your Email
- Check your recipients, subject, and content.
- Click Send Email.
You'll see Your email is on its way, and the panel closes. The email appears at the top of your All Emails list — first as Sending, then as Sent — where you can track deliveries, opens, clicks, and plays. To find all your Quick Send emails later, open Auto Tags in the Email sidebar and click Quick Send.
If something is missing, Quick Send highlights the field instead of sending — for example, Subject is required.
Frequently Asked Questions
Do I have to include a video? Not without a template — you can send an email with just a subject and a message. If you use a template that has a video field, you need to add a video before you can send. You can record a new video, choose one from your library, or upload one.
Why don't I see Add Video? Video is turned off for your user. Contact your account admin or BombBomb Support.
Are attached files sent as email attachments? No. Each file is added to the email as a download link, so large files (up to 2 GB) don't weigh down your email.
Will my email be sent from my Gmail or Outlook account? No. Quick Send always sends through BombBomb, even if you've connected Gmail or Outlook. Your connected account only adds its contacts to the recipient suggestions.
Can my recipients see who else I sent the email to? No. Each recipient receives their own separate email.
Does editing a template in Quick Send change the template? No. Your changes apply only to the email you're sending.
Why can't I add a merge tag to my subject or message? Merge tags are available only in a template's text fields. Choose a template to use them.
Where do I find emails I've sent with Quick Send? Click Email, then Sent. You can also open Auto Tags and click Quick Send to see only Quick Send emails.
Can I send to a whole contact list? Yes. Click Add list, choose one or more lists, and click Add. Each contact on the list receives their own email. Contacts who are suppressed or Oversubscribed are skipped.
Why don't I see Email in my navigation? Email isn't included on the Essentials plan. It's available on Pro and Enterprise.
