Overview
The All Emails tab on the Email page lists every email you've created, plus emails your teams have shared with you. Use tags, favorites, search, and sorting to find the email you need, and share an email with a link or with your teams so others can reuse it.
Who this applies to: All users with access to Email
Plan requirement: Pro, Enterprise
Known Limitations
- You can tag, share, or delete one email at a time. There's no way to select several emails at once.
- You can't rename or delete a tag from the Email page.
Understanding the Email List
The sidebar on the left decides which emails the list shows. You view one group at a time.
My Emails holds the emails you own:
- All My Emails — every email you've created, whatever its status.
- Sent, Scheduled, Drafts — your emails by status.
- Favorites — emails you've marked with the heart.
- Auto Tags — tags BombBomb adds for you, such as Quick Send for emails sent with Quick Send.
- My Tags — tags you create to group emails your own way.
Shared Emails lists each of your teams. Select a team to see the emails your teammates have shared with it. If you aren't on any team, this section doesn't appear.
Each row shows the email's name and when it was sent, scheduled, or last edited. Sent emails also show their Delivered, Opens, Clicks, and Plays counts. Drafts show a red Draft label instead.
Finding an Email
Above the list, you can narrow down what you see:
- Search — type part of an email's name to find it.
- Filter — show emails created in the last 24 hours (Today), the Last 7 Days, Last 30 Days, or Last 90 Days. All Time is the default. Filter goes by the date you created the email, not the date you sent it.
- Sort — order the list by Date Created (the default), Opens, Clicks, or Plays.
- Rows per page — show 10, 25, 50, or 100 emails per page. Use the arrows at the bottom of the list to move between pages.
The Filter and Sort buttons show the option you picked (for example, Sort: Opens), so you can tell at a glance when the list isn't in its default order.
Looking at a team's emails? Filter and Sort apply to your own emails only, so they don't appear when you select a team under Shared Emails. Search still works.
Organizing Emails with Tags
Tags let you group emails by campaign, client, or anything else that helps you find them later. An email can have more than one tag.
Tags used to be called folders. If you organized your emails into folders in BombBomb Classic, you'll find those folders under My Tags, with the same emails in them.
Creating a Tag
- Click the + next to My Tags in the sidebar.
- Enter a Name for the tag.
- Click Create Tag.
The new tag appears under My Tags with a count of 0 until you add emails to it.
Adding or Removing Tags on an Email
- Click ⋯ (More options) on the email's row.
- Click Edit Tags.
- Check each tag you want on the email, and uncheck any you want to remove.
- To make a new tag on the spot, type its name in Search tags and click New tag under the search box. The new tag is checked for you.
- Click Save.
The email's tags appear on its row. To remove a tag quickly, click the x on that tag on the row.
To see every email with a tag, expand My Tags in the sidebar and click the tag.
Marking Favorites
Click the heart (Favorite email) on any row to add that email to Favorites in the sidebar. It's a quick way to keep emails you reuse often one click away. Click the heart again to remove the email from Favorites.
Using the Email Menu
Each row has buttons for Preview email (the eye), Favorite email (the heart), and Share email, plus a ⋯ (More options) menu.
The ⋯ menu includes:
- Send — opens the Send Email dialog so you can send the email to recipients you choose. Sent and scheduled emails show this option.
- Edit Email — opens a draft in the Email Builder so you can finish it. Drafts show Edit Email instead of Send, because you send a draft from the builder once it's ready.
- Edit Tags — adds or removes tags (see above).
- Edit team access — shares the email with your teams (see below). You see this option if you're on at least one team. Account Admins and Application Admins see it even if they aren't on any team.
- Duplicate — makes a copy of the email. The copy appears in your list as a draft with "copy" added to its name. Tags aren't copied, so add them to the copy if you need them. The original isn't changed.
- Delete — permanently deletes the email after you confirm. This can't be undone.
To see how a sent email performed, click its name or one of its counts. This opens the email's tracking page. See How to Track Email Performance.
Sharing an Email Link
- Click Share email on the email's row.
- In Share Your Email, click Copy Link.
- Paste the link wherever you want to share it.
Anyone who opens the link sees your email as a web page in their browser. They don't need a BombBomb account or the original message. When you paste the link into a post or a message, the preview shows the email's subject and thumbnail.
The dialog also has two buttons that open a new browser tab so you can post the link:
- Share on X — starts a post with the email's name and link already filled in. The post uses the name you gave the email, not its subject, so check the text before you post.
- Share on LinkedIn — opens LinkedIn's share window with the email's link.
Sharing an Email with Your Teams
Share an email with a team so your teammates can view it and share it too — for example, a market update everyone on the team can send around.
- Click ⋯ (More options) on the email's row.
- Click Edit team access.
- In Share With Teams, check each team that should get the email, or check All teams.
- Click Update Access.
You'll see Team access updated, and the team's count under Shared Emails goes up by one.
Share With Teams lists only the teams you're allowed to share with:
- Account Admins and Application Admins can share with any team on your account, even teams they don't belong to.
- Team Admins and Content Admins can share with the teams where they have that role.
- Team Members and QA Admins can't share emails with their team.
If there's no team you can share with, you'll see You don't have permission to share emails with any of your teams.
To stop sharing, open Edit team access again, uncheck the team, and click Update Access. The email no longer appears under that team for your teammates. It stays in your own list.
What Your Teammates See
The email appears under Shared Emails → your team in their sidebar, with the date it was shared. Teammates can preview the email and share its link. They can't edit, tag, send, or delete it — those options stay with you as the email's owner.
