How to Manage Email Templates

Overview

Email templates let you reuse a layout — your branding, a newsletter format, a just-listed announcement — so you don't rebuild the same email every time. The Templates tab in Email is where you browse BombBomb's templates and your own, create and edit templates, share your templates with your teams, save the ones you use most, and delete templates you no longer need.

Who this applies to: All users with access to Email

Plan requirement: Pro, Enterprise

Understanding the Templates Tab

To open it, click Email in the left navigation, then click the Templates tab.

The Templates tab with My Templates selected in the sidebar and the New Template button at the top right

The sidebar filters the template grid. Each item shows how many templates it holds.

  • All Templates — every template available to you: BombBomb's default templates for the new BombBomb, templates you've created, and templates shared with you through a team. Templates from BombBomb Classic don't appear on this tab.
  • My Templates — only the templates you created.
  • Saved — templates you've marked with the heart. Saving is separate from creating: a template you create isn't saved until you click its heart.
  • Categories — BombBomb's templates grouped by theme.

Use the Search box above the grid to find a template by name.

Each template card has a heart in the top-right corner, and templates you created also have a ⋮ menu with Share With Teams and Delete. Hover over a card to see its actions:

  • Preview — opens the template so you can look it over without changing anything.
  • Edit — opens the template in the builder. Edit only appears on templates you created.

Creating a Template

  1. On the Templates tab, click New Template.
  2. Choose where to start: click Select on one of BombBomb's templates, or choose Start from scratch.
  3. Build your template in the editor. For a full tour of the editor, see How to Create an Email with the Email Builder.
  4. Click Save & Exit.
  5. In the Name your template dialog, enter a Template Name and click Save & Exit.

Your new template appears under My Templates. You can pick it right away when you start an email in the Email Builder or use a template in Quick Send.

Saving an Email as a Template

If you're building an email and want to reuse its design, you can save it as a template without leaving the builder.

  1. In the Email Builder, click Save As New Template.
  2. Enter a Template Name and click Save Template.

You'll see Template saved. and the builder stays open, so you can keep working on your email. The new template is added to My Templates.

This is also how you customize one of BombBomb's templates: start an email from it, make your changes, and save it as your own template.

Editing a Template You Created

  1. On the Templates tab, hover over your template and click Edit.
  2. Make your changes in the editor.
    • To rename the template, click Edit Name next to its name at the top of the builder.
  3. Click Save & Exit.

Your changes replace the saved version of the template, and you'll see Template updated.

Want to keep the original? Click Save As New Template instead of Save & Exit to save your changes as a separate template.

Saving Templates You Use Often

Save a template to keep it one click away under Saved. You can save any template, including BombBomb's.

  1. Click the heart on the template's card.

The heart fills in and the template appears under Saved. To remove it, click the heart again. Saving or unsaving a template doesn't change the template itself.

Sharing a Template with Your Teams

Share a template you created with your teams so your teammates can send emails with it too — for example, a branded announcement everyone on the team can use.

  1. On the Templates tab, find your template. My Templates shows only the ones you created.
  2. Click the ⋮ menu in the top-right corner of the card.
  3. Click Share With Teams.
  4. In Share With Teams, check each team that should get the template.
  5. Click Update Access.

Share With Teams appears only if you're on at least one team. The dialog lists only the teams you're allowed to share with. If none of your teams qualify, you'll see "You don't have permission to share templates with any of your teams."

To stop sharing, open Share With Teams again, uncheck the team, and click Update Access. The template stays in your My Templates.

What Your Teammates See

The template appears under All Templates for your teammates. They can preview it and use it to create emails in the Email Builder, but they can't edit, share, or delete it — those options stay with you as the template's owner.

Deleting a Template You Created

  1. On the Templates tab, find your template. My Templates shows only the ones you created.
  2. Click the ⋮ menu in the top-right corner of the card.
  3. Click Delete.
  4. In the Delete Template dialog, click Delete.

The template is removed from the Templates tab, including Saved, and you can no longer choose it in the Email Builder or Quick Send. Emails you've already sent with it aren't affected.

Deleting a template can't be undone. If you might need the design later, keep it instead.

Using Templates in Quick Send

When you click Use a template in Quick Send, you can choose from:

  • BombBomb's templates and the templates you've created in the new BombBomb, whether or not you've saved them.

Templates from BombBomb Classic aren't available in Quick Send. For how to send with a template, see How to Send a Quick Send Email.

Frequently Asked Questions

Who can edit, share, or delete a template? Only the person who created it. BombBomb's templates and templates shared with you through a team show Preview but not Edit, and they don't have a ⋮ menu, so you can't share or delete them.

Can I recover a template I deleted? No. Deleting a template is permanent.

Can my teammates change a template I shared? No. Teammates can preview a shared template and use it in their emails, but only you can edit, share, or delete it.

Why can't I share a template with my team? Share With Teams appears only if you're on at least one team, and it lists only the teams you're allowed to share with. If you see "You don't have permission to share templates with any of your teams," ask your account admin about your team role.

What happens to emails I've already sent with a template I delete? Nothing. Sent emails keep their content.

If I edit a template, do emails I've already started from it change? No. Drafts you've already saved keep their own content, so editing the template only affects emails you start from it afterward.

Is a template I create saved automatically? No. New templates go to My Templates. Click the heart if you also want them under Saved.

How do I change one of BombBomb's templates? You can't edit BombBomb's templates directly. Start an email from the template in the Email Builder, make your changes, and click Save As New Template to keep your own version.

Why don't I see my BombBomb Classic templates? The new BombBomb shows only its own templates: BombBomb's default templates, templates you've created, and templates shared with you through a team. Classic templates aren't listed on the Templates tab, in the Email Builder, or in Quick Send. You can still use them in BombBomb Classic, or recreate one here with New Template.
