How to Track Email Performance

Overview

Every email you send from the new BombBomb gets its own Email Details page. It shows how many people your email reached, how many opened it, played your video, and clicked a link, and it lists every recipient so you can see who engaged and follow up with the right people.

Who this applies to: All users with access to Email

Plan requirement: Pro, Enterprise

Known Limitations

  • Click counts show how many people clicked, not which links they clicked. There's no per-link breakdown.
  • Tracking appears only after an email is sent. Drafts and scheduled emails don't have tracking yet.

Opening an Email's Tracking

  1. Click Email in the left navigation.
  2. On the All Emails tab, find the sent email you want. To see only sent emails, click Sent in the sidebar.
  3. Click the email's name, or any of the counts under it.

Each sent email in the list shows four counts, so you can check how it's doing without opening it:

A sent email in the list with its Delivered, Opens, Clicks, and Plays counts under the name
  • Delivered (envelope with a check mark) — how many recipients the email was delivered to.
  • Opens (open envelope) — how many times the email was opened.
  • Clicks (pointer) — how many people clicked a link in the email.
  • Plays (play button) — how many times your video was played.

Counts can take a few minutes to update after sending.

Clicking any count opens the same Email Details page as the email's name.

🗣️ Note: Clicking a draft's name opens it in the Email Builder instead, because there's nothing to track yet.

Understanding the Email Details Page

The top of the page shows the email's name, its Subject, Sender, and Sent date, and its tags. Click + next to the tags to add or remove tags without going back to the list.

Below that are two tabs:

  • Tracking — totals, engagement rates, and a chart for the whole email.
  • Recipients — every person who got the email and what each one did. The tab shows how many recipients there are, for example Recipients (25).

The buttons on the right of the tabs act on the email: All Sends (see below), View Email to preview the email as recipients see it, the heart to add it to your Favorites, and ⋯ (More options) for everything else.

Reading the Tracking Tab

The Tracking tab for a sent email, showing Emails Sent, Delivered, Bounced, Abused, the Open Rate, Play Rate, and Click Rate cards, and the Total Opens Over Time chart

Delivery

  • Emails Sent — how many people the email went to.
  • Delivered — how many of those emails were delivered.
  • Bounced — how many couldn't be delivered, for example because the address doesn't exist.
  • Abused — how many recipients reported the email as spam.

Engagement Rates

Three cards show how people responded. Each counts a person once, however many times they opened, played, or clicked.

  • Open Rate — the share of recipients who opened the email. The line under the card reads, for example, "17 opens out of 22 sends."
  • Play Rate — of the people who opened the email, the share who played your video.
  • Click Rate — of the people who opened the email, the share who clicked a link.

Play Rate and Click Rate are measured against opens, not sends. They tell you how well the email worked for the people who actually saw it, so a Play Rate can be high even when only a few people opened.

What the Colors Mean

Each card gets a label and color based on its percentage:

  • High (green) — 80% or higher
  • Medium (yellow) — 40% to 79%
  • Low (red) — under 40%

The Chart

Click a rate card to show that interaction in the chart below the cards: Total Opens Over Time, Total Plays Over Time, or Total Clicks Over Time. The chart shows daily totals for the first 14 days after the email went out, so you can see when people engaged. The chart line uses the same color as the selected card.

Under the chart you'll find the Peak day's count, the Total for those 14 days, and the Conversion Rate, which is the same percentage as the selected card.

Viewing One Send at a Time

If you've sent the same email more than once, the Email Details page combines every send by default. To look at one send on its own:

  1. Click All Sends.
  2. Click the date and time of the send you want.
The All Sends menu open, listing All Sends and one send date

The button now shows the send's date, and both tabs show only that send. To go back to the combined view, click the date and choose All Sends.

Seeing Who Engaged

Click the Recipients tab to see each person who got the email. For each recipient, the table shows:

  • Email — the recipient's address, with their number of opens, plays, and clicks next to it. Click the Email heading to sort A–Z or Z–A.
  • Sent — when the email was sent to them.
  • Relationship — the contact's overall relationship level in BombBomb: Weak, Decent, Good, Great, or Fantastic. It's blank for recipients who aren't saved as contacts.

Use Rows per page and the arrows at the bottom to page through long lists.

To follow up with one person right away, click ⋯ at the end of their row and choose Send Quicksend Email. Quick Send opens with their address already filled in. See How to Send a Quick Send Email.

Filtering Recipients

  1. Click Filter: All Recipients.
  2. Choose who to show:
    • Opens — recipients who opened the email.
    • Clicks — recipients who clicked a link.
    • Plays — recipients who played your video.
    • Unengaged — recipients who haven't opened, played, or clicked this email.
The Recipients tab with the filter menu open, showing All Recipients, Opens, Clicks, Plays, and Unengaged

The button shows the filter you picked, for example Filter: Unengaged. To see everyone again, open the filter and choose All Recipients. If no one matches, you'll see a message such as "No recipients match the Clicks filter."

Building a Contact List from Recipients

Turn the people who engaged, or the ones who didn't, into a contact list you can send a follow-up to. For example, add everyone who clicked to a "Hot leads" list, or everyone who didn't open to a list for a second try.

  1. On the Email Details page, click ⋯ (More options), then Segment Recipients.
  2. Choose Opens, Plays, or Clicks at the top. Each shows how many recipients did that, for example Opens (12).
  3. Under Segment Type, choose who to add:
    • The people who did it, for example Opens.
    • The people who didn't, for example Non-Opens.
  4. Under Add these recipients to new lists, check one or more of your contact lists.
    • To make a new list, type its name in New list name and click Create. The new list is checked for you.
  5. Click Segment Contacts.
The Segment Recipients panel with the Opens tab, the Opens and Non-Opens Segment Type options, a checked contact list, and the Segment Contacts button

You'll see how many contacts were added, for example "Added 12 contacts to 1 list." The contacts are now in that list on your Contacts page, ready for your next email. If no one matched, you'll see "No contacts matched, so nothing was added."

Looking at one send? If you picked a send under All Sends, Segment Recipients uses only that send's recipients. The number of contacts added can be slightly lower than the count shown next to Opens, Plays, or Clicks.

Other Actions on the Email Details Page

The ⋯ (More options) menu also lets you act on the email without going back to the list:

The More options menu on the Email Details page showing Send, Duplicate, Segment Recipients, Export, and Delete
  • Send — opens the Send Email dialog so you can send the email again to recipients you choose. You'll see Email sending, and you stay on the Email Details page.
  • Duplicate — makes a copy of the email. You'll see Email duplicated and stay on this page. The copy appears in your email list as a draft with "copy" added to its name. Tags aren't copied.
  • Export — downloads a CSV file that lists each recipient with their opens, plays, clicks, bounces, and spam reports. If you don't see Export, list exporting is turned off for your team.
  • Delete — permanently deletes the email after you confirm, then takes you back to your email list. This can't be undone.

These work the same way as on the email's row in the list. See How to Organize and Share Emails.

Frequently Asked Questions

Why are Play Rate and Click Rate based on opens instead of sends? They show how engaging the email was for people who actually saw it. Open Rate tells you how many people opened; Play Rate and Click Rate tell you what those people did next.

If someone opens my email three times, does that count three times? Not in the rates. Each person counts once in Open Rate, Play Rate, and Click Rate. Opens and plays on the Recipients tab and in the chart count every time. Clicks always count people: each person who clicks is counted once.

What does Unengaged mean? On the Recipients tab, Unengaged shows the people who haven't opened, played, or clicked this email. If you picked one send under All Sends, it applies to that send only. This isn't the same as an unengaged contact on your Contacts page, which looks across all your emails: a contact is unengaged when they've been in your contacts for more than 180 days, got at least 3 of your emails in the last 180 days, and haven't opened, clicked, played, or viewed anything in that time. See How to Suppress and Unsuppress Contacts.

Can I send a follow-up to only the people who clicked? Yes. Use Segment Recipients to add them to a contact list, then send to that list with Quick Send or the Email Builder. See How to Send a Quick Send Email and How to Create an Email with the Email Builder.

Why can't I see tracking for a draft or scheduled email? Tracking starts once an email is sent. A draft's name opens it in the Email Builder, and a scheduled email shows tracking after it goes out.

Can my teammates see tracking for an email I shared with our team? No. Only the email's owner can see its tracking and recipients. Teammates can preview and share the email.

Can I see which link someone clicked? Not yet. Click counts and Click Rate show how many people clicked, not which links.
