What Are Automated Workflows?

Overview

Automated Workflows is BombBomb's structured sales campaign system built around video. It lets you create repeatable outreach sequences — called Campaigns — and assign specific video tasks to your team at each step. The key difference from other campaign tools: if a team member doesn't record their video by the deadline, a fallback video is used in its place. This guarantees every contact receives a video at every key moment, regardless of whether your team follows through.

Who this applies to: Admins and Content Admins build and manage Campaigns. Team Members receive and complete Assignments.

How It Works

Automated Workflows has three core components:

1. Campaigns

The overall outreach sequence for a specific use case. A Campaign defines which videos get sent and what the messaging should be at each step. When and how Assignments are triggered depends on whether you're using a CRM integration or not.

Examples:

  • "New Lead Nurture – 14 Days"
  • "Post-Demo Follow-Up – 7 Days"
  • "Customer Onboarding – 30 Days"

2. Assignments

Individual video tasks inside a Campaign. Each Assignment tells a specific team member exactly what video to record, for whom, and what to say.

What's included in each Assignment:

  • Suggested script
  • Example video showing what good looks like

3. Fallback Videos

Pre-recorded backup videos that are used automatically if the assigned team member hasn't recorded their own video by the time it's needed. This is what guarantees execution.

How it works:

  • Team member receives an Assignment and records their personalized video → their video is used
  • Team member does not record → fallback video is used automatically

Either way, the contact receives a video.


Two Ways to Use Automated Workflows

With a CRM Integration

(Outreach, Dynamics 365, Total Expert, HubSpot)

Your CRM sequence triggers Assignments automatically when a contact reaches the right step. This is true end-to-end automation.

Example:

  1. Contact enters your Outreach sequence.
  2. Sequence hits Step 5: "Send demo follow-up video" — this step has the Assignment embedded.
  3. BombBomb checks whether the assigned rep has recorded a video. If they have, their video is used. If not, the fallback video is used.

Result: 100% execution on every video step in your sequences. No manual work required.

Without a CRM Integration (Standalone)

Assignments are created immediately when a new Campaign is set up for a contact. Reps complete their Assignments on the schedule defined in the Campaign.

Example:

  1. Rep gets a new lead.
  2. Admin creates a Campaign for that contact — Assignments appear immediately on the defined schedule.
  3. Rep completes each Assignment by recording their video, or the fallback is used.

Result: Structured process with execution guarantee, but requires Admins to create Campaigns for new contacts rather than having them trigger automatically.

  • Post-Demo Follow-Up — videos that address objections and keep deals moving.
  • Customer Onboarding — welcome sequences that educate new customers.
  • Re-engagement — check-ins with cold contacts or dormant accounts.
  • Event Follow-Up — post-webinar or post-conference outreach at scale.

How to Access Automated Workflows

From the left navigation in BombBomb Engage, click Automated Workflows.

You'll see up to four tabs depending on your role:

  • Campaigns — build and manage your sequences. (Admins only)
  • Assignments — view and complete your assigned video tasks. (All team members)
  • Member Adoption — track who's completing Assignments and who's relying on fallback videos. (Admins only)
  • Video Review — approve team member videos before they're used, if this feature is enabled. (Admins only, when enabled)

If you don't see Automated Workflows in your navigation, your plan doesn't include access. Automated Workflows is available on Core + Copilot and Enterprise plans. Contact your Admin or Account Manager to upgrade.


Monitoring Performance

For Admins

Go to Automated Workflows → Member Adoption to see:

  • Which team members are completing Assignments
  • Which team members are relying on fallback videos
  • Overall completion rates across Campaigns

Use this data to identify coaching opportunities and refine your Campaigns.

For Team Members

Go to Automated Workflows → Assignments to see:

  • Your active Assignments
  • Scripts and example videos for each task

Frequently Asked Questions

Can I edit a Campaign after it's already running? Yes. You can edit Campaigns, Assignments, scripts, and fallback videos at any time. Changes apply to the Campaign immediately.

Is there a limit to how many Campaigns I can create? No. Create as many Campaigns as you need for different use cases.

What happens if I delete a Campaign? No new Assignments will be created from that Campaign. Because Assignments are created immediately when a Campaign is set up, any Assignments already created will remain active until they are completed or their deadline passes.

Can team members see each other's Assignments? No. Team members only see their own Assignments. Admins can see all Assignments across the team.

Do I need a CRM integration to use Automated Workflows? No. Without a CRM integration, Assignments are created immediately when a Campaign is configured for a contact. CRM integrations (Outreach, Dynamics 365, Total Expert, HubSpot) add full automation by triggering Assignments based on activity in your CRM.
