How to Track Campaign Adoption

Overview

The Member Adoption tab in Automated Workflows shows you which team members are completing their Assignments and which ones are relying on fallback videos. Use this data to identify coaching opportunities, recognize top performers, and refine your Campaigns based on how your team is actually executing them.

Who this applies to:

  • Admins and Content Admins who manage Campaigns and need to monitor team performance

Plan requirement: Core + Copilot and Enterprise plans


How to Access Member Adoption

  1. Go to Automated Workflows
  2. Click the Member Adoption tab (between Assignments and Video Review)

You'll see a table showing every team member and their adoption metrics.


Understanding the Metrics

The Member Adoption table shows five columns for each team member:

Members

The name of the team member

Team

Which teams this member belongs to (e.g., "Sales Team")

Adoption Rate

The percentage of Assignments this member has completed by recording their own video (vs. relying on fallbacks).

How it's calculated: (Assignments Completed / Total Assigned) × 100

Examples:

  • 100% = Team member has recorded their own video for every Assignment
  • 35% = Team member recorded 35% of their Assignments; fallbacks sent for the other 65%
  • 0% = Team member hasn't recorded any videos; fallbacks sent for all Assignments

Total Assigned

The total number of Assignments this member has received

Completed

The number of Assignments where the team member recorded their own video (not fallbacks)


How to Use This Data

Identify Coaching Opportunities

Look for team members with low adoption rates (below 50%). These are people who are consistently not recording their Assignments. They may need:

  • Additional training on how to use Automated Workflows
  • Coaching on how to record videos using the provided scripts
  • Help understanding why the Assignments matter
  • Clarity on deadlines and expectations

Recognize Top Performers

Team members with 80%+ adoption rates are following through consistently. Consider:

  • Featuring their example videos in Assignments for others to model
  • Asking them to share their workflow and tips with the team
  • Acknowledging their consistency publicly

Spot Patterns Across the Team

If EVERYONE has low adoption rates (most people below 50%), that's not a people problem—it's a process problem. Consider:

  • Are the scripts too vague or complicated?
  • Are the deadlines too tight?
  • Is the Assignment appearing at an inconvenient time in the workflow?
  • Do team members understand the value of personalization vs. fallbacks?

Test Campaign Changes

After you update a Campaign (better scripts, clearer example videos, longer deadlines), monitor adoption rates over time. If rates improve, you've made the right changes. If they don't, keep iterating.


Filtering and Sorting the Data

Search for Specific Team Members

Use the Search bar at the top to find a specific person by name.

Sort by Any Column

Click any column header to sort:

  • Sort by Adoption Rate to see your highest and lowest performers
  • Sort by Total Assigned to see who has the most Assignments
  • Sort by Completed to see who's recording the most videos

View Individual Details

Click the three-dot menu (⋮) next to any team member to see:

  • A breakdown of their Campaigns and Assignments
  • Which specific Assignments they've completed vs. which used fallbacks

This opens a side panel showing all their Campaigns with expandable views of individual Assignments.


Exporting Adoption Data

To export the Member Adoption report:

  1. Click Export in the upper right
  2. A modal appears: Customize Export
  3. Select which fields to include:
    • First Name
    • Last Name
    • Email
    • Title
    • Team
    • Adoption Rate
    • Total Assigned
    • Completed
  4. Optionally check: Include inactive and invited users in the report (to see adoption for users who aren't fully active yet)
  5. Click Save Settings

The system will generate a CSV file that downloads to your computer with all the selected data.


What Good Adoption Looks Like

Healthy adoption metrics:

  • Team average above 60% = Most people are recording their own videos most of the time
  • No one at 0% for extended periods = Everyone is at least trying to engage with Assignments
  • Top performers at 90-100% = You have examples of success to model

Warning signs:

  • Team average below 40% = Most people are letting fallbacks do the work
  • Multiple people at 0% = Systemic issue with onboarding or understanding
  • High performers leaving = Loss of momentum and example-setters

Common Scenarios and What They Mean

Scenario: Everyone has low adoption (below 50%)
Likely cause: The Assignments aren't set up for success. Scripts may be too vague, deadlines too tight, or team doesn't understand the value.
Fix: Revise your Campaigns. Better scripts, clearer examples, longer deadlines. Test with a small group first.

Scenario: New team members start strong (80%+) but drop to 20% over time
Likely cause: Initial enthusiasm fades. Team members realize fallbacks will send anyway, so they stop recording.
Fix: Reinforce the value of personalization. Show data proving personalized videos get better response rates than fallbacks. Consider recognition or incentives for high adoption.

Scenario: One or two people at 0%, everyone else healthy
Likely cause: These specific people don't understand the tool, don't see the value, or are actively choosing not to participate.
Fix: One-on-one coaching. Understand their blockers. Are they intimidated by recording? Do they not understand how to use the tool? Do they disagree with the strategy?

Scenario: Adoption is high (70%+) but sales results haven't improved
Likely cause: Team is following through, but the Campaigns themselves need work. Wrong messaging, wrong timing, wrong audience.
Fix: Analyze which Campaigns are working and which aren't. Test different scripts, different video types, different timing.


Frequently Asked Questions

Why don't I see any data in Member Adoption?
No Campaigns have been assigned to your team yet. You need to create Campaigns, add Assignments, and assign them to team members before adoption data appears.

Can I see adoption data for a specific Campaign?
Not directly in Member Adoption (which shows overall user metrics). To see Campaign-specific performance, go to Automated Workflows → Assignments and filter by that Campaign.

Does "Completed" include videos sent via fallback?
No. "Completed" only counts Assignments where the team member recorded their own video. Fallbacks don't count toward the "Completed" metric, which is why adoption rate can be low even when all Assignments technically got sent.

What if someone records a video but it's after the deadline?
If they record after the deadline, the fallback has already sent. Their late recording won't count as "Completed" for that Assignment. The deadline is firm.

Can I set adoption rate goals or benchmarks?
Not in the tool, but you can set team expectations externally. Many teams aim for 70%+ adoption as a baseline, with top performers at 90%+.

Does adoption rate affect CRM integration?
No. Whether the rep records or the fallback sends, the CRM receives the same "video sent" confirmation and continues to the next step. Adoption rate is purely for internal coaching and performance tracking.
