Overview
Fallback videos are the execution guarantee in Automated Workflows. When you create an Assignment, you upload a pre-recorded backup video. If the assigned team member hasn't recorded their own video yet, the fallback sends automatically in their place. This ensures every contact receives a video at every key moment in your Campaign, regardless of whether your team has recorded.

How It Works
When you create an Assignment, you upload a fallback video as part of the setup. Each Assignment can also include a suggested script and an example video to guide the team member's recording.
When the Assignment is active, the embed will immediately show the fallback video to the contact. It stays there until the assigned team member records their own personalized video.
Once the team member records, their personalized video replaces the fallback. The contact now sees the team member's own recording instead.
This means there's no deadline, no waiting, and no gap in execution — the contact always has a video to watch from the moment the Assignment goes live.
Why Fallback Videos Matter
Without a fallback video, an Assignment has nothing to show the contact until the team member records. Fallback videos close that gap immediately, keeping your outreach on schedule even if your team hasn't caught up yet.
Real-world example: You build a "Post-Demo Follow-Up" Campaign with 4 Assignments. The moment each Assignment goes live, the contact sees your fallback video. If a rep records their own version, it replaces the fallback. If they don't, the contact still received a professional, on-brand video. Either way, nothing falls through the cracks.
What Team Members See
When a team member opens an Assignment, they see:
- The suggested script (if you added one)
- The example video (if you uploaded one)
- The fallback video
The fallback video is visible to team members. Seeing it gives them a clear sense of the standard their own recording should meet — or exceed.
Best Practices for Fallback Videos
1. Use Your Best Performer's Videos
Fallback videos set the standard. Record them with your top rep or sales leader so they demonstrate exactly what great looks like.
2. Keep Them Relatively Generic but Still Personal
Fallback videos can't reference contact-specific details since you don't know who will receive them. Write scripts that feel personal without relying on specifics.
Good fallback script: "Hey there — thanks for taking the time to connect. I wanted to follow up on what we discussed and show you exactly how this works..."
Bad fallback script: "Hi [Contact Name], following up on our call on [Date] about [Specific Problem]..."
3. Record Them Once, Update as Needed
You can replace fallback videos at any time. If your messaging changes or you have a better version, upload a new fallback video and it will apply to all future Assignments in that Campaign.
4. Make Sure Fallback Videos Match the Assignment Script
If the suggested script tells the team member to reference a case study, the fallback video should too. Alignment between the two keeps messaging consistent whether the rep records or not.
How to Upload or Update a Fallback Video
- Go to Automated Workflows → Campaigns
- Open the Campaign and click on the Assignment you want to edit.
- Click Edit
- Go to the Upload tab and click Fallback Video
- Select an existing video from your Workspace, or upload a new video
- Click Save
The fallback video is saved to this specific Assignment. Updating it here updates this Assignment only — it does not affect other Assignments, even within the same Campaign.
Monitoring Fallback Usage
As an Admin, you can see which team members are recording their own videos versus relying on fallbacks:
- Go to Automated Workflows → Member Adoption
- Review the completion data:
- Assignments Completed — team member recorded their own video
- Fallbacks Used — the fallback video is still showing for the contact
Use this data to identify coaching opportunities. If a team member consistently hasn't recorded, they may need additional training or a nudge.
Frequently Asked Questions
What happens if I don't upload a fallback video? The Assignment will have nothing to show the contact until the team member records. We strongly recommend always uploading a fallback to guarantee the contact sees something from day one.
Can team members see the fallback video? Yes. When a team member opens an Assignment, they can see the fallback video alongside the script and example video.
Can I use the same fallback video for multiple Assignments? You can upload the same video to multiple Assignments, but each Assignment stores its own fallback independently. Updating the fallback on one Assignment does not affect others.
What if I update a fallback video on an Assignment that's already active? The updated fallback will replace the previous one for that Assignment going forward.
Do fallback videos count against my video storage limit? Yes. Fallback videos are stored in your Workspace like any other video and count toward your plan's storage limit.
Can I delete a fallback video from an Assignment? Yes, but we don't recommend it. Without a fallback, the Assignment has nothing to show the contact until the team member records — which defeats the purpose of Automated Workflows.
