Overview
By default, when you assign a Campaign to a team, every team member in that team receives every Assignment in the Campaign. But sometimes you need more control—maybe only certain reps should handle certain touchpoints, or you want to test different approaches with different team members.
Granular Assignment lets you assign specific team members to specific Assignments within a Campaign, giving you precise control over who gets which video tasks.
Who this applies to: Admins and Content Admins who create and manage Campaigns
Plan requirement: Core + Copilot and Enterprise plans
When to Use Granular Assignment
Use this when:
- Different team members specialize in different parts of your sales process (e.g., SDRs handle intro videos, AEs handle demo follow-ups)
- You want to A/B test which team members get better results with certain messages
- You're running a Campaign where not every Assignment applies to every person
- You have a mixed team (some experienced, some new) and want to assign simpler tasks to newer reps
- You need to exclude certain team members from certain Assignments without removing them from the Campaign entirely
Don't use this when:
- Everyone on the team should be doing the same thing (just assign the whole Campaign to the team)
- You're trying to micromanage individual performance (use Member Adoption metrics instead)
How to Assign Specific Team Members to an Assignment
Method 1: During Assignment Creation
When you're creating a new Assignment:
- Go to Automated Workflows → Campaigns
- Click Create Campaign
- Click Add Assignment
- Fill out the Create tab (Assignment Title, Suggested Script, etc.)
- Click the Assign tab
- Under Assignees, you'll see a list of all team members in the selected team
- Uncheck anyone you DON'T want to receive this Assignment
- OR check Assign to all team members to give everyone this Assignment
- Complete the Upload and Example tabs as needed
- Click Save Changes
Only the checked team members will receive this Assignment when the Campaign runs.
Method 2: Editing an Existing Assignment
If you've already created an Assignment and need to change who's assigned:
- Go to Automated Workflows → Campaigns
- Open the Campaign containing the Assignment
- Find the Assignment you want to edit
- Click the three-dot menu (⋮) next to the Assignment
- Select Edit
- Click the Assign tab
- Check or uncheck team members to adjust who receives this Assignment
- Click Save Changes
Important: If this Assignment has already been sent to some team members, changing assignees here only affects future instances of this Assignment. Active Assignments already in progress won't be affected.
Understanding the Assign Tab
When you're in the Assign tab of an Assignment, here's what you'll see:
Team
Shows which team this Assignment is for. This is locked once the Assignment is created (you can't move an Assignment from one team to another after creation).
Campaign
Shows which Campaign this Assignment belongs to. You can change this dropdown to move the Assignment to a different Campaign if needed.
Assignees
A searchable list of all team members in the selected team, with checkboxes next to each name.
Options:
- Assign to all team members — Check this box to select everyone at once
- Search For Members — Type a name to find specific people quickly
- Individual checkboxes — Check or uncheck specific team members
Pro tip: Use the search when you have large teams (20+ people) and only want to assign to a few specific people.
How This Works in Practice
Example 1: Role-Based Assignment
Campaign: "New Lead Nurture – 14 Days"
Assignments:
- Day 1 – Welcome Video: Assigned to SDRs only (5 people checked)
- Day 3 – Product Demo: Assigned to AEs only (8 people checked)
- Day 7 – Case Study: Assigned to AEs only (8 people checked)
- Day 14 – Pricing: Assigned to AEs only (8 people checked)
Result: SDRs only see the welcome video Assignment. AEs handle the heavier lifting later in the sequence.
Example 2: A/B Testing
Campaign: "Post-Demo Follow-Up – 7 Days"
Assignment: Day 1 – Thank You Video
Split the team:
- Group A (10 people): Use Script Version A (focuses on next steps)
- Group B (10 people): Use Script Version B (focuses on addressing objections)
Create two separate Assignments:
- "Day 1 – Thank You Video (Script A)" → Assigned to Group A only
- "Day 1 – Thank You Video (Script B)" → Assigned to Group B only
Result: You can compare adoption rates and results between the two approaches.
Example 3: Excluding Team Members
Campaign: "Customer Onboarding – 30 Days"
Situation: You have 15 team members, but 3 of them only handle renewals, not onboarding.
Solution: For every Assignment in the Onboarding Campaign, uncheck the 3 renewals-only people.
Result: Those 3 people never see Onboarding Assignments. The other 12 handle all onboarding tasks.
What Team Members See
If a team member is assigned to an Assignment: The Assignment appears in their Automated Workflows → Assignments tab with all the details (script, example, deadline).
If a team member is NOT assigned to an Assignment: They don't see it at all. It doesn't appear in their dashboard. They have no idea it exists.
This is useful for keeping people focused on only the tasks relevant to them, without cluttering their view with Assignments they're not responsible for.
Best Practices
1. Default to "Assign to All" Unless You Have a Reason Not To
Most Campaigns work best when everyone gets every Assignment. Only use granular assignment when you have a specific strategic reason (role-based, A/B testing, etc.).
2. Document Why You're Doing Granular Assignment
If you're splitting Assignments across different team members, make a note somewhere (in the Campaign name, in a shared doc, in Slack) explaining why. Future you (or another Admin) will thank you when they're trying to figure out why only half the team has certain Assignments.
3. Check Your Logic Before Saving
It's easy to accidentally uncheck someone and not realize it. Before you save, double-check: "Do the right people have access to this Assignment?"
4. Use Consistent Naming for A/B Tests
If you're running two versions of the same Assignment with different assignees, make the names very clear:
- "Day 1 – Thank You Video (Script A - Control)"
- "Day 1 – Thank You Video (Script B - Test)"
5. Monitor Adoption by Group
If you split Assignments across different team members, make sure you're tracking adoption separately for each group. Use Member Adoption metrics to see if one group is performing better than another.
Limitations and Gotchas
You can't reassign active Assignments
If an Assignment has already been sent to a team member, you can't take it away from them or give it to someone else. You can only change assignees for future instances of that Assignment.
Team changes don't auto-update
If you add a new team member to the team after creating an Assignment, they won't automatically get that Assignment. You need to go back and manually check their name in the Assign tab.
Fallback videos don't change based on assignee
Everyone assigned to an Assignment uses the same fallback video. You can't set different fallbacks for different assignees within the same Assignment.
You can't assign across teams
An Assignment belongs to one team. If you want the same Assignment to go to people on different teams, you need to create separate Assignments for each team.
Frequently Asked Questions
Can I assign one person to an Assignment?
Yes. Uncheck everyone except that one person. This is useful for testing or for highly specialized tasks.
What happens if I uncheck everyone?
The Assignment still exists in the Campaign, but no one receives it. It's essentially inactive until you assign someone.
Can I change assignees after the Campaign is already running?
Yes, but changes only affect future Assignments. If someone already has an active Assignment, you can't take it away from them.
Does granular assignment work with CRM integrations?
Yes. If your CRM triggers an Assignment, it will only create that Assignment for the team members you've checked in the Assign tab.
Can team members see who else is assigned to an Assignment?
No. Team members only see their own Assignments. They have no visibility into who else is or isn't assigned.
