Overview
Video Review gives designated reviewers quality control over videos team members record for Assignments before they go live to contacts. When Video Review is enabled for a team, recorded videos go to the Review Queue for approval instead of going live immediately. This ensures every video meets your standards before it reaches a contact.
Who this applies to: Anyone designated as a Team Reviewer in Manage Team settings
Plan requirement: Core + Copilot, Enterprise
How to Enable Video Review for a Team
Video Review is configured at the team level, not the Assignment level. To turn it on:
- Go to Manage Team in the left navigation.
- Click Permissions.
- Enable Require Video Review.
- Under Team Reviewers, designate which users are responsible for reviewing videos for this team.
Once enabled, every video recorded by a team member for an Assignment will go to the Review Queue before going live. Reviewers are notified when videos are waiting for their approval.
Note: Video Review applies to the entire team. It cannot be enabled for individual team members or specific Assignments only.
How to Access the Video Review Queue
- Go to Automated Workflows in the left navigation.
- Click the Video Review tab.
You'll see a table of all videos pending review, with the following columns:
- Video Title — the name of the recorded video
- Member — the team member who recorded it
- Last Updated — when the video was recorded or last resubmitted
- Status — either Pending (awaiting review) or Denied (rejected by a reviewer)
- Action — the Review button to watch and act on the video
How to Review a Video
- Click Review next to the video you want to watch.
- The video player opens showing the recording, who recorded it, and when.
- Watch the video.
- Optionally, type feedback in the Provide Feedback field.
- Click Approve Video or Reject Video.
If you approve:
- The video goes live immediately and replaces the fallback for that contact.
- The Assignment is marked complete.
- The video is removed from the Review Queue.
If you reject:
- The video does not go live. The fallback continues playing for the contact.
- The team member is notified and can see your feedback.
- The Assignment status changes to Rejected.
- The video remains in the queue with Denied status until the team member resubmits.
- When they resubmit, the video returns to Pending for re-review.
What Team Members See
After submitting a recording: The Assignment status changes to In Review. The team member knows their video is waiting for approval.
If approved: The Assignment is marked complete and their video is now live.
If rejected: The Assignment status changes to Rejected. The team member can see any feedback you provided and re-record and resubmit.
Filtering and Sorting the Review Queue
- Search — use the search bar to find videos by team member name or video title.
- Sort by Member — click the Member column header to sort alphabetically.
- Sort by Status — click the Status column header to sort by Pending vs. Denied.
- Denied videos — remain in the queue indefinitely until the team member resubmits. There is no automatic archiving.
When to Use Video Review
Video Review is a powerful tool but adds a step to the recording process. Use it thoughtfully.
Good use cases:
- Training new team members and quality-checking their early recordings
- Campaigns with brand or compliance requirements that need pre-approval
- High-stakes contacts where every video needs to be right
When to skip it:
- Your team consistently produces quality videos and doesn't need oversight
- Speed is critical and the review step would cause unacceptable delays
- You trust your team to self-assess using the provided scripts and examples
Best Practices for Video Review
Provide specific, actionable feedback. Vague feedback frustrates team members and leads to more back-and-forth.
- Yes: "This doesn't work."
- No: "Please use a virtual background and make sure to reference the case study mentioned in the script."
Review promptly. Until you approve a video, the fallback is what the contact sees. Aim to review within a few hours during business hours so personalized videos go live as quickly as possible.
Set clear expectations upfront. Before team members start recording, tell them exactly what you're looking for — script adherence, virtual background, tone, length. Fewer surprises means fewer rejections.
Frequently Asked Questions
Who can review videos? Only users designated as Team Reviewers under Manage Team → Permissions → Team Reviewers. Being an Admin does not automatically grant access to the Review Queue — you must be added as a reviewer for that team.
Can I delegate review to someone else? Yes. Any user can be designated as a Team Reviewer regardless of their role. Add them under Manage Team → Permissions → Team Reviewers.
Can team members see their video is in review? Yes. Once they submit, their Assignment status shows In Review. If rejected, it shows Rejected along with any feedback you provided.
What happens to a denied video if the team member never resubmits? The video stays in the queue with Denied status indefinitely. The fallback video continues playing for the contact until a recording is approved.
Does rejecting a video affect the team member's adoption rate? No. Adoption rate tracks whether a team member recorded a video versus relying on the fallback. Rejections don't count against adoption.
Can I approve videos from my phone? Video Review is designed for desktop use. For the best experience, review videos from a desktop browser.
