How to Use Automated Workflows with Dynamics 365

Overview

With the Microsoft Dynamics 365 for Automated Workflows integration, you can seamlessly embed BombBomb personalized or fallback videos into your Dynamics 365 Customer Insights - Journeys emails. This allows sales and marketing teams to automate video-driven outreach while maintaining full personalization and tracking through BombBomb. 

Once set up, your videos dynamically populate in Dynamics emails based on the owning user and recipient, providing a powerful and scalable way to deliver personalized communication directly from Microsoft Dynamics.

Admin Connection Steps:

  1. In BombBomb, go to Manage Team.

  2. Make sure you’re part of a team that supports Automated Workflows.

  3. Click Permissions.

  1. Turn on Microsoft Dynamics Customer Insights – Journeys.


Copy Assignment to MS Dynamics

Add Your BombBomb Video Placeholder in Dynamics

  1. In BombBomb Engage, click Automated Workflows > Choose a Campaign/Assignment and click Copy for Microsoft Dynamics Customer Insights - Journeys: Email. 

  2. Log in to Microsoft Dynamics, open Customer Insights – Journeys Emails and select or create an email.

     

  3. Inside your email, click where you want the video to appear (a text block works great).

  4. Paste the copied BombBomb placeholder (Ctrl + V or Cmd + V).

 

💡 Tip: If there isn't a personalized video assigned for the recipient, the placeholder will not be visible for them. If there’s a fallback video set, that one will display instead.


Edit Personalization Variables

Map Personalization Variables

From here you’ll need to map two fields in Dynamics:

  • bb_sender_email → the owning user’s email (the sender)
  • bb_tracking_email → the contact’s email (the recipient being tracked)

Setting bb_sender_email

  1. Click the Personalize icon in the email editor.
  2. Choose Dynamic text, then Choose an attribute.
  3. Search for “Owning user” and select the Contact entity.
  4. Pick the Owning user’s email field.
  5. Leave the Default value blank and click Save.

Setting bb_tracking_email

  1. Again under Personalize → Dynamic text, search for Email.
  2. Select Contact → Email address 1 (or your preferred contact email field).
  3. Leave Default value blank and click Save.

🔍 Why keep defaults blank?
If Dynamics can’t find a value, this ensures nothing unexpected appears in your live email.


Preview & Test

Preview & Test Your Setup

  1. Click Preview and Test in Dynamics.
  2. Click Edit sample data, then choose one of the following:

Option A — Use a real contact:

  • Pick a contact whose owning user has recorded a personalized BombBomb video.
  • You should see their personalized video appear in the email preview.

Option B — Test with a blank contact:

  • Enter a contact email that doesn’t have a personalized video.
  • You should see the fallback video instead.

FAQs

Q: Why isn't my video displaying in Dynamics?

A: Check that you pasted the BombBomb placeholder correctly and that the personalization variables are mapped. Also confirm the owning user has a recorded personalized video. 

 

Q: Can I use this with campaigns that don't include video personalization?

A: Yes. The fallback video will appear automatically if no personalized video exists.

 

Q: Do I need admin permissions to connect Dynamics?

A: Yes. Only users with Automated Workflows access and Application Admin rights can enable the Dynamics integration.
